This Privacy Policy describes how John A. Constantine, LLC ("we," "us," or "our") collects, uses, and protects information when you use Geoffrey, our digital executive assistant ("Geoffrey" or the "Service"), and the website at johnaconstantine.com (the "Site"). By using Geoffrey or the Site, you agree to this Privacy Policy and to our Terms & Conditions.

1. Information We Collect

We collect only the information needed to operate Geoffrey on your behalf. This includes:

  • Account information you provide when you sign up: full name, business name, email address, mobile phone number, and authentication credentials.

  • Communication content you send to or through Geoffrey: emails, SMS messages, calendar invitations, meeting requests, scheduling preferences, and any free-text instructions you give Geoffrey.

  • Calendar and contact data you authorize Geoffrey to access via Google Calendar, Microsoft 365, or other connected services, limited to the scopes you approve at the time of connection.

  • SMS opt-in and consent records: the date, time, IP address, and method by which you consented to receive text messages, retained for compliance with the Telephone Consumer Protection Act (TCPA) and CTIA guidelines.

  • Usage and technical data automatically generated as you interact with the Service: IP address, device type, browser, operating system, pages visited, timestamps, and basic diagnostic logs.

We do not knowingly collect information from anyone under the age of 18. We do not collect Social Security numbers, payment card numbers, or government-issued ID numbers through Geoffrey.

2. How We Use Information

We use the information described above only to:

  • Provide, operate, and maintain Geoffrey's scheduling, communication routing, escalation, and reminder features;

  • Send you SMS, email, or in-app messages that you have requested or that are necessary to perform the Service (for example, a meeting confirmation or an escalation alert);

  • Authenticate you and protect against unauthorized access, fraud, or abuse;

  • Improve the reliability and performance of the Service through internal analytics on aggregated, de-identified usage data;

  • Comply with applicable laws, respond to lawful requests from public authorities, and enforce our Terms & Conditions.

We do not use your information to build advertising profiles, train third-party AI models, or make automated decisions that produce legal or similarly significant effects about you.

3. SMS Privacy — Mobile Information Sharing

We do not sell, rent, or share your mobile phone number, SMS opt-in data, or the content of your text messages with any third party or affiliate for marketing or promotional purposes. Mobile information will not be shared with any third parties for any purpose other than supporting the SMS service you have signed up for (for example, transmitting the message through our SMS provider, Twilio, so it can be delivered to your carrier). All SMS opt-in data and consent records are excluded from any data category that we may share for any other purpose.

4. How We Share Information

We share information only in the limited cases below:

  • Service providers acting on our behalf and under written contract — for example, Twilio (SMS delivery), Google Workspace (email and calendar), Vercel (hosting), and Supabase (database). These providers may process your information solely to provide their service to us and are contractually prohibited from using it for any other purpose.

  • Connected services you authorize, such as your Google Calendar or Microsoft 365 account, and only within the OAuth scopes you grant.

  • Legal and safety reasons, when we believe in good faith that disclosure is required by law, subpoena, or court order, or to protect the rights, property, or safety of our users, the public, or our business.

  • Business transfers, in the event of a merger, acquisition, or sale of assets — in which case any successor will be bound by this Privacy Policy or will provide notice and an opportunity to opt out.

We do not sell personal information as that term is defined under the California Consumer Privacy Act (CCPA) or any similar state law.

5. Data Retention

We retain account information for as long as your account is active and for a reasonable period afterward to satisfy legal, tax, and compliance obligations. SMS opt-in and consent records are retained for at least four years after opt-out, consistent with TCPA recordkeeping recommendations. Communication content is retained only as long as necessary to provide the Service or as required by law, and is deleted or de-identified after that period.

6. Security

We use industry-standard administrative, technical, and physical safeguards — including encryption in transit (TLS), encryption at rest, access controls, and audit logging — to protect your information. No system is perfectly secure, and we cannot guarantee absolute security. If a security incident affects your information, we will notify you as required by applicable law.

7. Your Rights and Choices

Depending on where you live, you may have the right to access, correct, delete, port, or restrict the processing of your personal information, or to object to processing. You can exercise these rights — or ask any question about your data — by emailing john@johnaconstantine.com. We will respond within the time required by applicable law.

You can stop SMS messages from Geoffrey at any time by replying STOP to any message. You can request help by replying HELP. You can withdraw consent for email communications by following the unsubscribe link in any email or by contacting us directly. Withdrawing consent for transactional SMS may prevent Geoffrey from performing certain features.

8. Cookies and Tracking

Our Site uses only the cookies necessary to operate the website and basic analytics cookies to understand how visitors use the Site. We do not use third-party advertising cookies or cross-site tracking pixels. You can control cookies through your browser settings.

9. International Users

Geoffrey is operated from the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S., which may have different data protection laws than your jurisdiction.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page and, if the changes are material, notify you by email or SMS. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
